<p><span style="font-weight: 400;">Are you still looking for just the right system that’s going to help you be more productive and finally let you have all the time in the world? I have a secret to let you in on…</span></p>
<p><span style="font-weight: 400;">I'm kind of lazy. I admit it. I like to work less and have more free time. I think part of that comes from being a chronic migraine sufferer and needing to reduce the amount of work stress in my life. It has also meant I needed to get more done in less time just in case a migraine would strike. </span></p>
<p><span style="font-weight: 400;">That’s probably why I first started learning how to be more productive. Way back in Junior High. I remember being given a class planner when we had our intro to the crazy world that was different teachers and different classrooms. I thought that was so cool. A place where I could track homework assignments and tests? Are you kidding me???</span></p>
<p><span style="font-weight: 400;">Of course, I’ve also had migraines since JH… Coincidence??? JUST KIDDING!</span></p>
<p><span style="font-weight: 400;">Once I discovered planners, my journey to become the perfectly productive person (say that 5 times fast) started.</span></p>
<p><span style="font-weight: 400;">I have spent many years looking for that perfect productivity system and getting it to work just right for me. I had learned so much that I even became a Productivity Coach &amp; Consultant.</span></p>
<p><span style="font-weight: 400;">But what do I mean by productivity systems and tools?</span></p>
<p><span style="font-weight: 400;">A quick search on the internet comes up with over 277 MILLION results. That’s a LOT of listings for productivity systems. </span></p>
<p><span style="font-weight: 400;">A productivity system is a philosophy around how to be more productive. Think </span><a href="https://amzn.to/3h36SLa" target="_blank" rel="noopener"><span style="font-weight: 400;">Seven Habits of Highly Effective People</span></a><span style="font-weight: 400;">, a book that just released its 30</span><span style="font-weight: 400;">th</span><span style="font-weight: 400;"> anniversary edition a couple of years ago.</span></p>
<p><span style="font-weight: 400;">The team over at </span><a href="https://www.teamgantt.com/blog/the-busy-humans-guide-to-the-best-productivity-systems-in-the-world" target="_blank" rel="noopener"><span style="font-weight: 400;">TeamGant</span></a><span style="font-weight: 400;"> lists the following as the four best productivity systems:</span></p>

<ol>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Getting Things Done by David Allen is a workflow that allows you to choose how to prioritize your tasks and get everything out of your brain and onto paper.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Pomodoro was started by Francesco Cirrillo and utilizes time as a limiting factor encouraging you to stay focused.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Zen to Done by Leo Babauta builds on the Getting Things Done premise while working to overcome some of it’s limitations.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Don’t Break the Chain was popularized by Jerry Seinfeld in his attempts to write more stand up comedy jokes. It’s a simple premise that works on consistency every single day.</span></li>
</ol>
<p><span style="font-weight: 400;">The system I often taught when I coached or presented consisted of 5 key elements: Eliminate, Automate, Delegate, Procrastinate (on purpose), and focus. </span></p>
<p><span style="font-weight: 400;">Productivity Tools, on the other hand, are programs, calendars, journals, software, etc… that help you to get organized and stay productive.</span></p>
<p><span style="font-weight: 400;">When looking for a best of related to tools, the search came back with numbers like 66 best, 44 top, 29… That’s a LOT of tools.</span></p>
<p><span style="font-weight: 400;">As </span><a href="https://www.timedoctor.com/blog/productivity-tools/" target="_blank" rel="noopener"><span style="font-weight: 400;">Time Doctor.com</span></a><span style="font-weight: 400;"> explains, Tools can be broken down into categories such as:</span></p>

<ul>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Communication and collaboration (think things like Slack or Zoom).</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Time Tracking Tools (to help you identify how you are spending your time).</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">To Do List or Project management tools (like Asana, Trello, Monday, or just your written To-Do List)</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Note-Taking Tools (so you don’t forget things that are important)</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">Focus tools (that help you stay off of social media for too long or get you into the Zone faster).</span></li>
</ul>
<p><span style="font-weight: 400;">And that’s just the start!</span></p>
<p><span style="font-weight: 400;">If systems were clothes and tools were the accessories, my efforts to find the right combination that would nail my productivity challenges ended up looking like the dressing room floor of a prom dress store in April, more discarded cast-offs than jaw-dropping options. I wanted that Come-down-the-stairs-and-make-everyone-stop- in-their-tracks moment when it came to finding the right combination of productivity systems and tools. </span></p>
<p><span style="font-weight: 400;">But, the overwhelming mix of options makes me realize two things. </span></p>

<ol>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">These tools and systems are NOT one-size-fits all. New ones keep getting created because the old ones aren’t working.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">It’s not the tools or systems that account for most of our productivity.</span></li>
</ol>
<p><span style="font-weight: 400;">Here’s some of what I learned on my journey and by coaching 100’s of others to become more productive.</span></p>
<p><b>Lesson #1 - Productivity systems and tools aren’t a perfect fit</b><span style="font-weight: 400;"> – Have you ever purchased a high ticket item like a brand new car or home? Even if you custom build a home based on your own specifications, you often figure out things that just don’t work for you. It might be where the laundry room is placed or how the garage is on the other side of the kitchen so you have to carry your groceries all through the house. </span></p>
<p><span style="font-weight: 400;">Systems and tools are no different, there’s always going to be something that just doesn’t quite work for you. And quite often, that one thing will likely cause you to get so frustrated that you stop using it at all. After all, when something isn’t easy, we resort to what IS easy in times of stress.</span></p>
<p><b>Lesson #2 -You can get caught up looking at options</b><span style="font-weight: 400;"> – With so many systems and tools, you can actually get trapped and waste MORE time trying to find the perfect fit. I test drove so many programs that I knew all the bells and whistles of each. Clients would pay me not to have to do that kind of research themselves knowing that I could find a close match based on their personality and style. But, if you aren’t prepared to pay someone, this can be an incredible waste of time. </span></p>
<p><span style="font-weight: 400;">By the way, if you are interested saving some time while selecting the best tools for you and your business, be sure to check out episode number 68 . <p><b>Lesson #3 - It’s more about mindset than the right tool</b><span style="font-weight: 400;"> – Not another mindset topic!!! Let’s be honest, there’s a reason so many coaches focus on mindset. What we think about, comes about. Whenever I worked with a new coaching client to help improve their productivity, I would always share that mindset had to come before tools and systems. </span></p>

<ul>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">If you felt guilty about how you spent your time – tools would not work.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">If you struggled with “fear of” issues, i.e. fear of success, fear of failure, imposter syndrome – systems would not work.</span></li>
 	<li style="font-weight: 400;" aria-level="1"><span style="font-weight: 400;">If you had personal issues that affected your business life – tools and systems wouldn’t work.</span></li>
</ul>
<p><span style="font-weight: 400;">Again, this is just a few examples of the mindset challenges that can keep you from being more productive.</span></p>
<p><span style="font-weight: 400;">The fact is, if you don’t value your time and how you use it, no system, tool or hack will offer you more time.</span><span style="font-weight: 400;"><br />

</span><span style="font-weight: 400;">I’m going to share a favorite poem of mine. Author – Unknown.</span></p>
<p><span style="font-weight: 400;">To realize the value of ONE YEAR, ask a student who failed a grade. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE MONTH, ask a mother who gave birth to a premature baby. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE WEEK, ask the editor of a weekly newspaper. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE DAY, ask the person who was born on February 29th. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE HOUR, ask the lovers who are waiting to meet. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE MINUTE, ask a person who missed the train. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE SECOND, ask a person who just avoided an accident. </span></p>
<p><span style="font-weight: 400;">To realize the value of ONE MILLISECOND, ask the person who won a silver medal in the Olympics. </span></p>
<p><span style="font-weight: 400;">Treasure every moment that you have! And treasure it more because you shared it with someone special, special enough to spend your time. And remember that time waits for no one. </span></p>
<p><span style="font-weight: 400;">Yesterday is history. Tomorrow is mystery. Today is a gift. That's why it's called the present.</span></p>
<p><span style="font-weight: 400;">Until you are ready to be intentional and deliberate with every moment you have, your productivity will suffer. </span></p>
<p><span style="font-weight: 400;">Here are some of the most common things I heard when coaching clients and what the negative belief may be.</span></p>
<p><span style="font-weight: 400;">“But I have to be available in case a client calls.” – If I miss a client call, they won’t do business with me and I’ll be a failure. Here’s the reality, you teach people how to treat you. If you train your clients that you are available 24/7, they’ll expect you to be. If you don’t want to be, let them work with someone else. There are plenty of other clients who will respect your boundaries.</span></p>
<p><span style="font-weight: 400;">“I should spend more time doing XYZ.” – I think everyone wants me to do something else but I also think I need to be doing what I’m already doing. I really can’t make up my mind. Shoulding is a lack of commitment. You want to please people, including yourself, so you can’t commit to how you truly want to spend your time. </span></p>
<p><span style="font-weight: 400;">“I don’t have time to do ABC.” – I’m not really that interested in motivated even if I say I am. It’s not a lack of time you have, it’s a lack of priority. If you don’t have time to spend with your family, your priority is on your business. If you don’t have time to take care of your health, it’s not your priority. Change the phrase to accurately reflect what this is and you’ll discover a shift in perspective.</span></p>
<p><span style="font-weight: 400;">Letting go of these beliefs isn’t always easy but once you are ready to let go, then the systems and tools are no longer as critical. </span></p>
<p><span style="font-weight: 400;">Stop chasing the perfect system, tool or hack and start reflecting on how you value your time. </span></p>

<p><span style="font-weight: 400;">Frustrating, right? I’ve often felt the same way!</span></p>
<p><span style="font-weight: 400;">And then, recently, it became super obvious how often this happens. Let me tell you what I mean...</span></p>
<p><span style="font-weight: 400;">Before social distancing hit, my husband and I began planning a cross-country RV trip. It was to be our first.</span></p>
<p><span style="font-weight: 400;">I was so excited; we both love to travel! </span></p>
<p><span style="font-weight: 400;">We’ve sat idly by the last several years watching the annual RVing adventures of my sister-in-law and her husband </span><a href="https://millerluckycharm.blogspot.com/"><span style="font-weight: 400;">https://millerluckycharm.blogspot.com/</span></a><span style="font-weight: 400;">. </span></p>
<p><span style="font-weight: 400;">We decided we were done being jealous. It was time to give it a try for ourselves.</span></p>
<p><span style="font-weight: 400;">Before rushing out to spend a good chunk of our savings on a rig, we decided it would be a good idea to rent for the first trip just to make sure the RVing life is really something for us. </span></p>
<p><span style="font-weight: 400;">We were going to fly to Minneapolis, pick up the RV, and then stop at as many interesting places as we could along the route back home to Arizona.</span></p>

<p><span style="font-weight: 400;">We started strong. How hard can this be, right? We’ve planned tons of trips. But the further along we got the more we discovered things we definitely didn’t know. </span></p>
<h2><span style="font-weight: 400;">I Just Want MY Golden Nugget</span></h2>
<p><span style="font-weight: 400;">Who knew there are length restrictions on certain highways? The pros tell ya not to drive more than 330 miles a day but that sometimes gets you driving in circles to reach some of your top destinations. </span></p>
<p><span style="font-weight: 400;">And it turns out there is a really important difference between black and grey water. Not to mention something known as dry docking; we thought that was boat storage - not so much.</span></p>
<p><span style="font-weight: 400;">One delivery pizza, a large veggie tray, a few Moscow Mules, and 9 hours later our original jumping up and down enthusiasm had turned into more of an ‘Eeek…we might have bitten off more than we can chew’ feeling.</span></p>
<p><span style="font-weight: 400;">Unfortunately, due to COVID-19 my husband and I had to cancel our inaugural RV trip. But I’m so grateful for the experience of planning that trip. Because in the process I had an epiphany.</span></p>
<h3>The Epiphany</h3>
<p><span style="font-weight: 400;">As I was researching, I was running across articles with "way above my novice head" information and then others that left me saying, “Yes. I know how to pack a suitcase. Thank you. I’m way past that."</span></p>
<p><span style="font-weight: 400;">I was spending too much time reading through content desperately searching for the golden nugget of information that applied to me.</span></p>

<p><span style="font-weight: 400;">That got me thinking more. It wasn’t restricted to this RV thing. I felt that way whenever I wanted to learn how to do just about anything from how to use Photoshop to creating an online membership program! It's certainly been something I've noticed on my own entrepreneurial journey.</span></p>

<h2>The Struggle Is Real</h2>
<p><span style="font-weight: 400;">This is the information overload age. We get so much thrown at us from every direction. </span></p>
<p><span style="font-weight: 400;">Being the productivity expert that I am I pondered on how much precious time we are all spending while we struggle to consume content that is either way over our head, or stuff we already know.</span></p>
<p><span style="font-weight: 400;">And then it hit me…does Virtual A Team content do that? </span></p>
<h3>Calling a meeting</h3>

You know there is growth potential here, but you’re most likely struggling to know just where to start. <p><span style="font-weight: 400;">While you may be a solopreneur and only need to schedule appointments for yourself, do you have different types of appointments you want to set up? Maybe you have an appointment for your discovery calls and another for your actual coaching appointments. Or, maybe you even have calls scheduled for your podcast show and ones for “virtual networking meetings”. For some, that means creating an online course to share their knowledge with more people at one time. </span></p>
<p><span style="font-weight: 400;">I recently had a client join Virtual A Team because she wanted a way to make more money with less effort. She had a large audience and needed help getting the most out of her time. However, the whole process was out of her zone of genius.</span></p>
<p><span style="font-weight: 400;">Once you begin to think about creating an online course, the actual steps get overwhelming VERY fast. There are, like, a MILLION different choices to make and many of those choices are in areas you probably have little to no knowledge in. After all, your business isn't building online courses.</span></p>
<h2><span style="font-weight: 400;">What is an online course?</span></h2>
<p><span style="font-weight: 400;">An online course is a class, skill, or system taught via online tools such as videos, video calls, emails or other digital presentations. The instructor and the students are not in the same location. And sometimes, the information is prerecorded and consumed on demand rather than a predetermined schedule.</span></p>
<p><span style="font-weight: 400;">Online courses can be free with a goal of generating leads for the business. Or they can range in price from less than $20 to several thousand dollars.</span></p>
<h2><span style="font-weight: 400;">Do you need an online course?</span></h2>
<p><span style="font-weight: 400;">It’s easy to hear about the huge launches and the great success of online courses and think that’s the quickest path to easy money. </span></p>
<p><span style="font-weight: 400;">You may be feeling burnt out working with one-on-one clients and want to share your wisdom with a greater number of people. </span><span style="font-weight: 400;">And online courses seem to be a simple and practical way to reach those people.</span></p>
<p><span style="font-weight: 400;">Until you start digging into those success stories and the work behind them.</span></p>
<h3>Behind the Scenes</h3>
<p><span style="font-weight: 400;">Online courses ARE an excellent way to reach more people in a shorter period of time. But, what often goes unanswered in the success stories, is the work that led up to those successes.</span></p>
<p><span style="font-weight: 400;">There are a few questions you can ask yourself to help determine if creating an online course makes sense for you right now.</span></p>

<li style="font-weight: 400;"><span style="font-weight: 400;">Are you finding enough one-on-one clients to sustain your business? If the answer is no, then you will struggle to fill an online course.</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Do you have a system you use with your clients that is easily duplicatable? If you tend to wing it with each client, then you don’t have a system to your approach yet, without a system, then you are the product and that can’t be duplicated in an online course.</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Do you have enough money or skills to invest up front to get your course launched before the cash starts rolling in? <p><span style="font-weight: 400;">Once you’ve completed your research, identify the one problem you want to solve and the solution you will offer. This may have a very different answer depending on what your goals are for the program.</span></p>
<p><span style="font-weight: 400;">A coach who offers tips on how to be more effective in their video marketing may start out with a free online course walking people through how to purchase, set up and use the right equipment. The problem is where to start and her solution is to provide the step-by-step for getting started.</span></p>
<p><span style="font-weight: 400;">The next problem her clients face may be what content to create. She offers a low price point online course teaching them about the 5 types of videos used for business marketing.</span></p>
<p><span style="font-weight: 400;">Ultimately, her new clients land in either a signature course designed to help them overcome their fears of being on video or a one-on-one coaching program designed to help them get the most out of their video marketing efforts.</span></p>
<h4><strong>Outline Program Content</strong></h4>
<p><span style="font-weight: 400;">Now that you have your problem and solution, it’s time to outline the content of your course.</span></p>
<p><span style="font-weight: 400;">No matter what format you choose to present your content, you’ll need an outline to get started.</span></p>
<p><span style="font-weight: 400;">A few things to remember as you sit down to write your program:</span></p>
<ul>
<li style="font-weight: 400;"><span style="font-weight: 400;">Each module should be a mini training with a beginning, middle, and end.</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Each module should have a win. What can the students implement after completing that module?</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Keep modules short enough not to overwhelm. If a module is longer than 45 minutes, students may never come back to finish the course. In fact, if you can break modules up into segments of 15 minutes or less, that is even better.</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Title modules with a hook. Make each module title something students will want to dive into. “Module 2 - Equipment” isn’t nearly as enticing as “Module 2 - What to buy based on your budget.”</span></li>
<li style="font-weight: 400;"><span style="font-weight: 400;">Set Action Steps to help your students implement what they’ve learned.</span></li>
</ul>
<p><span style="font-weight: 400;">Once you’ve completed your outline, you can begin crafting the course based on how it will be presented (video, audio, text-based, slides, etc…)</span></p>

<p><span style="font-weight: 400;">However, the skill of the copywriter has a lot to do with this. If you aren’t hiring a professional copywriter for your page (and you aren’t one yourself), we recommend sticking to the short form pages.</span></p>
<p><span style="font-weight: 400;">Consider recording a 90 second to 3 minute video talking about why someone needs your course, what they will learn and what they can expect as a result. Use this video on the sales page and in social media marketing.</span></p>
<p><span style="font-weight: 400;">Thank you pages are great opportunities to share bonus material or upsell to VIP status. Don’t forget the thank you page.</span></p>

<p><span style="font-weight: 400;">If you took my advice, most of your social media promotion is already scheduled. You simply need to go in and do your live videos and/or engage with the comments and questions received.</span></p>
<h3><span style="font-weight: 400;">Blog Posts</span></h3>
<p><span style="font-weight: 400;">Now that your blog posts are published, are there any social media groups you can share them in? How else can you use your blog posts to promote your sale?</span></p>
<h3><span style="font-weight: 400;">Affiliates &amp; Partners</span></h3>
<p><span style="font-weight: 400;">If you have not already identified who will be an affiliate or partner to help you promote your program, now is the time. Identify 5 to 10 individuals whom you know would help share your program. Be sure they have a similar target audience to get the most out of their share efforts.</span></p>
<p><span style="font-weight: 400;">Send them an email and give them a call to invite them to participate. Be sure to give them access to the content you created to help them promote for you.</span></p>

Each of them supports different numbers of social media profiles and additional features. </span></p>

<p><span style="font-weight: 400;">When you are trying to choose social media management tool, there are a lot of factors like cost, features, a number of users allowed and even the social media platforms supported to consider. You need to decide which of these factors you care more about and accordingly make the right call for your business. </span></p>
<p><span style="font-weight: 400;">If you want, you can even use some of these tools together. One of my favorite combinations is to use Tailwind for Instagram and Pinterest and Smarterque for everything else. You can come up with a combination that suits you best. </span></p>
<p><span style="font-weight: 400;">So, get rid of all the excel sheets you had while queueing your posts. Just get one (or more) of these tools and let your life become infinitely easier. This way, you can focus on what really matters - growing your business. </span></p>
