These online business manager interview questions will ensure you get the right fit.

So much to do, so little time.

Entrepreneurship is your passion but trying to handle everything alone has become overwhelming. You need help!

The pressure chamber that you’ve enclosed yourself in is crushing you, forcing you to gasp for air. Can you find someone who can save you?

Here’s a thought. The right online business manager acts as your right-hand; the Alfred to your Batman. He or she saves you from being crushed by this pressure chamber. It takes great skill to be an effective online business manager. This is in part because managing teams is a critical component of the role. Hire the wrong person and you can end up in a nightmare instead of a fairytale. Focus on the importance of online business manager interview questions when interviewing potential online business manager candidates.

You need an online business manager who doesn’t only view the position as a job. You'll want to look for someone with qualities focused on passion, hard work, innovation, and a commitment to achieving the company’s vision. It’s less about having an MBA and more about working with you to help business growth.

Thus, you don't want to ask just any questions in the interview. You'll want to know the right online business manager interview questions. It may be tempting to simply look at a resume and some portfolio work and say, “This is awesome! You’re hired!” In fact, this is often the technique used by entrepreneurs who hire remote workers. The real danger is that you could spend a lot of money on someone you shouldn’t have hired in the first place.

Interview questions help you learn more about who the person is and whether he or she is the right fit for your team.

We can group interview questions for online business managers into three categories:

Get to Know You Questions

Operational Questions

Situational Questions

The right online business manager interview questions

It’s important to get to know each candidate without diving too deep into personal details. Your goal is to learn more about this person’s motivation and experience level. You can also find out the value he or she can bring to the organization.

What inspired you to become an online business manager? What do you like about the job?

It’s good to start the interview with this question. It helps you identify the candidate’s motivation for pursuing this career path. A candidate who has a passion for this type of work is more likely to push through challenges that come with the job. On the flip side, a candidate who is motivated by a paycheck will give the bare minimum required to get the job done.

How long have you been an online business manager? What is the greatest lesson that you have learned through your experience?

Experience is only beneficial if the person has learned from it. Sometimes, someone with no experience can be better than someone who has experience. That's because the former is more trainable than the latter. Identifying if the candidate has experience is helpful. but the real benefit is pinpointing how much this person has learned from experience.

Do you consider yourself to be a leader? What would you say is your strongest leadership quality?

Your online business manager will be leading teams. When you allow your online business manager to make decisions on your behalf, you no longer serve as the bottleneck in the process. For this reason, trust is crucial. If you understand someone's strongest leadership quality, you will better understand their strengths. It can even help identify a preferred leadership style.

What is the greatest challenge that you have faced leading teams? How did you overcome this challenge?

This question shines a spotlight on how this candidate leads. You don’t want someone whose leadership style is completely different from yours. But, you also need someone whose strengths complement your weaknesses. This question helps you determine whether this candidate can strike that delicate balance.

How have you helped another organization achieve its vision?

This question also relates to assessing the candidate’s level of experience. It helps you know whether someone has taken the time to truly understand the goals of a business. You may also learn a little about someone's problem-solving abilities. Or discover some of their willingness to take initiative.

What tasks or areas of business are you most equipped to handle?

People work best in their areas of strength. You want your online business manager to have a good knowledge of all areas of your business. She should be able to adapt quickly and help you with anything at a moment’s notice. But, this approach can become draining and demotivating.

Pro Tip

A good OBM will focus on a specific area while project managing areas outside of their zone of genius.

Operational Questions

These questions look closely at the candidate’s work style and constraints. This section gives you insight into if someone's preferences or constraints will fit in with your business structure.

Tell me about a recent experience learning a new online tool or system?

Your company may use specific programs unique to your business. Some online business managers will prefer to working with their own programs. How they answer this question will help you find out if they are willing and able to learn your systems.

Remember, someone doesn't need to be a certified expert in your systems or tools to do their job. Unless that job requires high levels of customization. Then you might be looking for a specialist rather than an online business manager.

Download our Ultimate Guide to Delegating for More Tips & Tools on How to Delegate as a Solopreneur

What do you understand about the company’s vision, mission, and goals?

All team members should understand what the company stands for and where it’s going. Someone who hasn’t taken the time to do some basic research into your business may not care about more than just a job. You want someone who is deeply interested in your business and wants to help it grow.

This question may also help you find out how willing a person is to go above and beyond the expected. If they've taken the time, before an interview, they will put in that same amount of time AFTER the interview.

What timezone are you in and what hours are you available?

Time zones are tricky when hiring remote workers. It isn't crucial that all your freelancers be in the same time zone. But having your online business manager 14 hours ahead can make it impossible to manage the daily details of your business.

Do you only accept calls or emails at specific times?

It’s important to be respectful of the communication preferences of team members. For instance, some people may be okay with random calls to talk business throughout the day. But others may prefer a text message to find out if now is a good time to talk. It’s important to know these things and make sure it works with your style.

What communication channels do you use?

There are a lot of communication methods these days.

What’s App

Zoom

Skype

Slack

Email

etc...

Pro Tip

It's important that how you prefer to communicate works for the person you hire and vice versa.

Situational Questions

These questions suggest scenarios and ask the individual to offer solutions on the spot. They assess the candidate’s problem-solving skills.

You are managing a team of writers for a content marketing project. One of the writers is constantly missing deadlines but produces a good quality piece. How would you motivate the writer to meet her deadlines so that the project’s progress isn’t hampered?

This question will help you determine the person's interpersonal skills. You'll also learn a little more about how he or she would think as a leader. You can change the question to reflect a specific situation in your business. The goal is to determine how this person would deal with a situation that affects the team’s workflow.

You manage a project that has a tight deadline using a limited budget. How would you ensure that the project is effectively executed despite these constraints?

The candidate’s problem-solving skills are on full display here. You’ll quickly identify if the candidate has experienced this challenge before. You'll also get a sense of his or her quick thinking abilities.

The business’s website crashes for several hours. I am on a long-distance flight and, therefore, unreachable. The customer service manager calls you to address the issue but it’s 1 am in your local time. How would you handle this situation?

Your online business manager should always be available should the need arise. You don’t want someone who closes off from the rest of the world and is unavailable during crisis moments. This fact highlights the importance of ensuring that the candidate is in the right time zone. A major time difference decreases availability.

You disagree with something I’ve said. How would you express your opinion?

You don’t want someone who’s a “Yes” man. But, you also don’t want someone who is abrasive and challenges everything you say. A good online business manager will be strong enough to respectfully challenge your opinion when he or he is confident that there is a better way. Hiding in a corner or talking behind your back doesn’t solve any issues and only causes more harm than good.

But running a coaching business involves much more than just coaching. You have to manage your website, social media, email marketing, online courses, and much more. This can be overwhelming and take away from your core focus - coaching your clients. That's where an online business manager for coaches comes in. Today, we'll explore what an Online Business Manager (OBM) can do for your coaching business and how it can benefit you in the long run.

What is an Online Business Manager?

An OBM is a professional who can help you manage and streamline your coaching business. They take care of the day-to-day operations of your business, so you can focus on your coaching clients. An OBM can handle a range of tasks, including project management, team management, marketing, customer support, and more. They are experts in managing online businesses and can help you take your coaching business to the next level.

Benefits of Hiring an Online Business Manager for Coaches

1. Time Management

As a coach, your time is precious. You want to spend it coaching your clients, not managing the nitty-gritty details of your business. An OBM can take care of those details, so you can focus on what you do best. They can help you manage your schedule, appointments, and deadlines, so you never miss out on an opportunity.

2. Increased Efficiency

An OBM can help streamline your business processes and make them more efficient. They can automate tasks, delegate responsibilities, and manage projects, so you can get more done in less time. This means you can take on more clients, create more content, and grow your business without feeling overwhelmed.

3. Scalability

As your coaching business grows, so do your responsibilities. An OBM can help you scale your business to meet the increased demand. They can help you hire and manage a team, create and implement systems, and develop a plan for growth. With an OBM by your side, you can confidently take your coaching business to the next level.

4. Expertise

They have the knowledge, skills, and experience to help you navigate the complex world of online coaching. They can provide guidance, advice, and support, so you can make informed business decisions. With an OBM on your team, you'll have access to the expertise you need to succeed.

5. Cost-Effective

While hiring an OBM may seem like an added expense and is more expensive than hiring a virtual assistant, it can be very cost-effective in the long run. An OBM can help you save time, increase efficiency, and grow your business. This means you can generate more revenue and increase your profits. Additionally, an OBM can help you avoid costly mistakes and make smart business decisions.

Things an OBM Can Do for Your Coaching Business

Let's dig a little deeper into what an online manager for coaches can do for your coaching business. While a virtual assistant is often that go-to person for completing a list of tasks, an online business manager is that go-to person for creating and managing the projects.

1. Project Management

As a coach, you are probably challenged with brilliant ideas on a regular basis. But figuring out how to implement those ideas is another story. That's where an OBM shines over the Virtual Assistant. An OBM can help you manage your projects from start to finish. They can create timelines, assign tasks to the VAs and other experts, and track progress to ensure that everything is completed on time and within budget. This helps you stay organized and on top of your business goals.

2. Team Management

What if you need more than just an admin? What if you want someone to help with content writing? Or a great graphics person? Maybe you are starting a podcast and need an outstanding audio editor. If you have a team, an OBM can help you manage them effectively. They can find great team members, fill them in on all the details, and manage their performance. This helps ensure that everyone is working towards the same goals and that your team is productive and efficient.

3. Marketing

Let's be clear, OBM's are not business coaches or strategists. But, an OBM can help you develop and implement a basic marketing strategy for overall consistency. They can help you create content, manage your social media accounts, and run email marketing campaigns. This helps you attract more clients and grow your business.

4. Customer Support

Are you forgetting to follow up with clients? An OBM can help you provide top-notch customer support to your clients. They can answer emails, manage customer inquiries, and resolve issues quickly and efficiently. This helps you build a positive reputation and keep your clients happy.

5. Financial Management

Or maybe you keep forgetting to send out invoices. An OBM can help you manage your finances and keep track of your expenses. They can create budgets, manage invoices, and oversee your bookkeeping. This helps you stay on top of your finances and make informed business decisions.

Should You Hire an Online Business Manager For Coaches?

Hiring an OBM can be a game-changer for your coaching business. Both are valuable to a coaching business. But they serve different purposes and offer different services.

Most coaches know about virtual assistants and the benefits of hiring them. But few know about online business managers or what the difference is between them.

What are they?

Let’s start out by defining each of these rolls within your business:

Virtual Assistant

A virtual assistant is an individual who works remotely. They provide administrative and other support to a business. They handle routine tasks like scheduling, inbox management, and social media posting. Virtual assistants usually work on a contract basis and get paid hourly.

Online Business Managers

An online business manager provides a wider range of services to help manage and grow a business. The online business manager handles the marketing, operations, team and project management. They work closely with the business owner. Online business managers work to understand the business goals and develop a plan to achieve them. Online business managers usually work on a retainer basis and get paid a monthly fee.

Where do they FOCUS

Online business managers and virtual assistants will focus on different goals.

Virtual Assistant

Virtual assistants focus on completing assigned tasks by a set deadline. They don’t look outside the box or focus on how their task fits within the bigger picture.

Online Business Manager

Your online business manager will focus on the entire business, not just that one task. They will tackle the big Why and How questions as they examine what needs to be done.

Example

Virtual Assistant

If you tell a virtual assistant to research 10 potential podcast topics, you’ll get 10 topics as results.

Online Business Manager

Assign the podcast content calendar to your OBM and this is what you'll get instead:

20 topics broken down into how they fit your goals and objectives,

who will be doing each task in the process,

what the deadlines are,

and what to do next.

What are their RESPONSIBILITIES?

Virtual assistants or online business managers, what are their responsibilities?

Virtual Assistant

A virtual assistant is mainly responsible for the day-to-day tasks that need to be done. Virtual assistants are like the friendly gnomes, working to get the job done. Provide them with clear instructions and expectations and they will deliver.

Online Business Manager

An online business manager is responsible for project and team management. The OBM will help ensure everything is on track and moving towards the business goals. The OBM is like the White Rabbit running around managing all the details. But don’t worry; unlike the White Rabbit in Alice in Wonderland, your white rabbit isn’t usually late!

Virtual Assistant

Virtual assistants are only responsible for the items you put on their plate.

Online Business Manager

Online business managers are responsible for what’s on EVERYONE’s plate. That includes the business owner and everyone else on the team.

What is their APPROACH?

Each of these roles will have different goals for your business. So each will need a different approach.

Virtual Assistant

A virtual assistant usually aims to please. They follow instructions and a set schedule ensures that your needs are met.

Online Business Manager

An online business manager takes a more strategic approach. They look at the bigger picture and work to grow your business.

Virtual Assistant

Your virtual assistant invests time into getting their tasks completed.

Online Business Manager

Your OBM will develop a genuine relationship with you. They work towards having a deep understanding of your business.

Example

Virtual Assistant

A virtual assistant will post and schedule social media posts for you.

Online Business Manager

Your online business manager analyzes your social media stats and helps pivot for best results.

What is their EXPERTISE?

Finally, when deciding virtual Assistant or online business managers, it all comes down to the knowledge base.

Virtual Assistant

Virtual assistants are generalists, able to handle a wide range of basic tasks. But they aren't usually experts in any one area.

Online Business Manager

An OBM will have a deep understanding of your industry. This allows them to provide valuable insights and strategies.

Virtual Assistant

If a virtual assistant doesn’t have expertise in a certain area, they'll try to do it anyway. Or you’ll be back to finding the right person for the job. Neither of these options are a good choice.

Online Business Manager

Online business managers often have a team of experts at their disposal. This team includes graphic designers, web developers, and social media managers. It's a cost-effective solution for businesses that need multiple specialized services.

Virtual Assistant

When you aren’t working, your virtual assistant isn’t either. They complete the tasks you’ve assigned and wait for new tasks. If you are sick or traveling, there’s no one to keep the work moving forward.

Online Business Manager

Online business managers keep your business moving forward even when you aren’t directly involved. They help businesses stay organized and on track. They offer guidance and accountability to ensure that goals are met and progress is made.

More Benefits of an Online Business Manager

We aren’t done yet. Here are more areas where having an online business manager is better than having a virtual assistant.

OBMs provide valuable insights and strategies,

They identify new opportunities a virtual assistant may not look for,

And OBMs improve processes and make better use of technology.

Who to Hire

Coaching businesses need to have both broad strategic thinking and focused task completion. But it may be hard to know who to hire first.

Here are some questions you can ask yourself to narrow it down:

Would completing some basic tasks help free up your time to help you grow your business?

OR... Do you need help with strategic business awareness?

Are you willing to provide detailed instructions?

OR... Are you more focused on staying out of the weeds?

Do you have existing systems and processes?

OR... Do you need help setting these up?

Are you comfortable finding, hiring, training and managing multiple individuals on your team?

OR... Would hiring someone to manage all this help you stay in your zone of genius?

Do you have a knack for keeping yourself and others motivated and on task?

OR... Could you use a little accountability and someone to keep track of all the spinning plates?

While virtual assistants and online business managers both provide valuable services to businesses, they serve different purposes and offer different levels of expertise. Virtual assistants are great for handling day-to-day tasks. Online business managers are better suited for strategic support and helping businesses grow.

Online business owners are superheroes. Turn on your laptop, monitor your website and social media pages, deal with client work or online transactions, create lead-generating material, interact with online freelancers—so much to do and so little time. They don't even have time to think about why they need to hire an Online Business Manager (OBM).

Hey, this is Nicole Bandes. And I want to welcome you back for another awesome episode of Coach's CoPilot but I have to tell you I am still in recovery mode for Covid. I had a few days there where I was hitting 100-103°F temperatures. I am doing better now but my energy level and I still have the cough and the ickiness so I’m gonna try and edit out some of the most obnoxious coughs but I wanted to get some of this great content out to you.

This episode is actually a broadcast of one of our most popular blog posts. And I love, love, love this topic. It seems everybody else does too because they're hitting this blog post in droves. So, I wanted to share it with you all here on the podcast.

Are you tired of being a superhero for your business? Your passion is limitless and you spend every waking moment pouring your heart into making your business successful. Batman is your alter ego. Okay, ladies bear with me here because this works better if I use batman instead of the awesome female version like wonder woman. So yes, it is related to males but it just works so we're gonna go with it here.

So, you put on your cape daily and you conquer the challenges for your business like a boss but you transform into some semblance of Bruce Wayne minus the wealth and the fame, of course. And in the few moments when you're able to catch a breath so that you can live a little, you dream of the day when you can strike a balance. You dream of the day when that freedom you set out to achieve by becoming an entrepreneur is finally yours. If this is you then it may be time to hire an online business manager. And there's good news! An online business manager can be your own personal Alfred Pennyworth and help you achieve this seemingly impossible feat of finding that balance between your business and your life. So, what are the benefits when you hire an online business manager?

Five Main Benefits of Hiring an Online Business Manager

When you know what an online business manager does it's easy to understand how you can benefit. there are five main benefits of hiring an online business manager and those are

Saving money yes that is in fact true

Saving time

Getting some unique insights that you might have missed out on

Avoiding a human resource nightmare

Increased chances for your business success

Now, those sound fantastic to me. So, let's dive in a little bit.

Save money

How does an online business manager help you save money? How much money and time are you wasting right now trying to perfect areas of your business that you know very little about?

Hiring an online business manager to help you get things right from the get-go. the money that you invest in paying your online business manager pales in comparison with the money that you'll lose due to your inexperience. So, let's say you don't know anything about putting a funnel together, your online business manager may bring that level of expertise to help you put your funnel in place without you having to waste time and money taking classes or workshops or seminars and then trying to figure out all the tech to get it done yourself.

Save Time

They can save time and hire an online business manager. Time never seems to be on your side as a busy online entrepreneur and it's the one thing that we never get more of. An online business manager can help you find more time to pursue growth opportunities by being the middleman between you and the online freelancers you hire. Heck, you don't even need to be involved in the hiring process if it's if it isn't absolutely necessary. it can be time-consuming to onboard online freelancers and monitor their work especially when you're working with multiple freelancers across numerous teams. you will also have someone who you can trust to keep the business's best interest at heart. So, you can focus on your growth opportunities and leave the finer details to your online business manager. Oh, doesn't that sound amazing?!

Get Unique Insights

Okay, an online business manager's experience provides useful insights. Experience teaches wisdom. When you hire an online business manager, you get an individual whose experience provides a unique, current, and relevant perspective that can help your business thrive. You'll be amazed by the interesting ideas he or she presents. Your business will only get better.

Avoid a Human Resource Nightmare

The human resource requirements of a full-time employee are not necessary. Typically, you hire an online business manager on a contractual basis. Therefore, you won't be responsible for employment taxes, benefits, and other human resource concerns. This is quite different from hiring a full-time manager.

Increased Chances for Your Business Success

The main goal is to help your business thrive. An online business manager has the best interests of your business at heart. Consistent communication, transparency, and leadership are second nature for an effective online business manager. You'll get a highly valuable team member who will help you take your business to the next level.

And here's a little pro tip: Have potential employees take an online business personality quiz like Myers-Briggs to see if they're a good fit for the position you'd like to fill.

Who Is an Online Business Manager?

An online business manager helps virtual entrepreneurs govern and monitor the daily operations of a business. This person plays a critical role for small business in many ways.

Manages Your Team

If you know that building a team is important for your business goals but managing people is not your strong suit, you absolutely need to hire an online business manager. Your OBM can help you work with other team members—from graphic designers to website developers and copywriters and so many more. If you're building a sizable team, it helps to have someone manage all the different members for you. They can help with managing operations from accounting to customer service. There are a lot of things to manage in a growing online business. These are the weeds of your business. They need to be taken care of but it's not the best use of your time if you plan to continue to grow. Hiring an online business manager can help you manage the details so you stay focused on the big picture.

Monitors Your Goals and Keep You Accountable

Were you excited about not having a boss to report to when you chose to become an entrepreneur?

Is not having a boss leaving you without the accountability you need to succeed?

You have goals for your business but how good you are monitoring those goals?

Are you keeping up on the metrics you need to so that you can see the progress your business is making?

Are you easily distracted by other ideas and shiny objects?

Your online business manager can help you track your goals and make recommendations when those goals are getting off track. Your online business manager can serve as your accountability partner helping to keep you focused. It's like having the best benefits of the boss without getting yelled at for not performing.

Gives You a Break

Your online business manager can even give you a break. Have you ever wanted to go on a month-long vacation to Thailand or Bali but you knew that your business couldn't last a week without you? An online business manager can help you totally unplug from your business so that you come back with brilliant new ideas and you're ready to hit the ground running

When Do You Need an Online Business Manager?

There are many things that you're asked to invest in as a business owner. How do you know if it's the right time to invest in an online business manager? This one is a lot easier than you might think. Hiring an OBM can free you up to make even more money to invest in all those other opportunities. So, ask yourself:

Have I started to resent my business because of all the things that I don't love to do?

Am I constantly feeling overwhelmed and need some help?

Do I feel more like an employee than a business owner?

Am I inexperienced in a particular business area that will help my business to grow?

Am I missing out on growth opportunities because I'm focused on day-to-day operations?

Look closely at how you feel when you answer those questions. The answers will reveal to you whether it's time to hire an OBM or maybe you can continue to wait it out for a little while longer.

Online Business Manager vs Virtual Assistant

What’s the Difference Between an online business manager and a Virtual Assistant? Virtual assistants are often hired to do the work of online business managers but the roles are very different. Hiring the wrong type of person for the job can lead to frustration and disappointment. A virtual assistant’s role is specific to the tasks you assign. However, an online business manager is responsible for overseeing your business. Therefore, they have a lot more on their plate. For example, a virtual assistant is more of a team member. They tend to focus on the narrow details of their role in a project. They are not necessarily self-starters. They're not going to come to you and ask what needs to be done next. Versus an online business manager, they're the big picture people. They are team leaders and they focus on how each team member’s actions within a project affect the entire project.

Is an Online Business Manager Expensive?

Remember, these are just titles. You may get lucky and find a virtual assistant that can perform the work of an online business manager. An online business manager, though, brings a greater set of skills to the table than a virtual assistant. Therefore, their rates are typically higher than that of a virtual assistant. Some OBMs will work only on a fixed monthly rate (similar to a salary). They generally will only work with two or three clients at a time while giving much more time and attention to those clients. Other OBMs work at an hourly rate. Those rates tend to range between $60 and $75 an hour.

Qualities of an Effective Online Business Manager

What are some of the qualities of an effective business manager?

Time. Time management. Can we actually MANAGE time? Well, no. The clock is going to keep ticking no matter what you do with the seconds as they pass by. But we can manage what we do with our time. We can become more productive with the time we have.

And, one of the number one things we can do to improve our productivity is to stop wasting time.

Welcome to this week’s flight! Today I’m doing a solo cast and focusing on one of my favorite topics, productivity. In case you didn’t know, before launching Virtual A Team, I was a productivity coach. I LOVE helping people spend more time on what they love and less time on things that are a distraction or waste of time.

But here’s an interesting little secret, this next tip is very personal to me. And that’s because I spent WAYYYY too much time doing this very thing.

What is this time waster that I am personally guilty off along with many MANY other coaches and consultants? It’s LEARNING.

Ok, I don’t mean ALL learning here. I mean the kind of learning you have to do to in order to do things in your business that aren’t in your zone of genius.

Like learning how to do social media.

Or trying to master website design.

Or figuring out how to edit podcast audio.

These are things that you should NOT be wasting time learning, that is, unless you are a social media coach, website designer or podcast audio editor. And yet, most coaches spend hours and hours trying to figure these things out. How do I know? Because that was me!

When I first started my coaching business back in the early 2000’s, I had a lot of basic knowledge around things that were needed to build a business besides my core expertise. I had basic knowledge of how to build websites, how to set up social media, how to manage my book keeping, and I had a huge interest in marketing. What I did NOT have was a huge start up expense. I was reinvesting every dollar I made, which wasn’t much. While I didn’t have a lot of money, I had a desire to learn, in fact, learning is one of my top 2 strengths on the Strengths Finder assessment. So learn I did. I learned how to do all of those things because I believed I needed them to build a successful business.

What I didn’t realize was that, while I was learning, my business was on hold.

There’s only so much time in the day. While I was spending time learning how to do social media, I wasn’t out there finding and connecting with prospective coaching clients. I wasn’t building up my coaching skills. I wasn’t doing the things that made me a sought after, successful coach.

Can you relate?

By why do we do this? Why do we spend so much time working on things that aren’t going contribute directly in the short term? Why do we waste so much time learning about things we don’t need to be learning?

There are 5 core reasons that coaches find themselves spending all their time learning how to do the things in their business. Let’s chat about each and see if we can’t overcome some of these tendencies.

After each, I’m going to give you a quick actionable fix. Something you can do to shift the way you think or concrete action you can take.

1. You love learning. This was part of the trap I fell into. I truly do love to learn new things and it was easy to get distracted by something I love to do anyway. If this is you, you probably tended to do well in school and still nerd out on documentaries or digging below the surface. While this is a wonderful trait to have, it can also do a lot of harm by slowing down your progress and success.

What’s The Fix – Focus your learning on something that will improve your core skills. Make what you are good at even better. Don’t try to improve your weakest link or grow in areas that could be delegated to others.

2. You don’t have a lot of money and you don't have a plan. This was another trap I easily fell into. I didn’t have the money to delegate and I didn’t have a clear plan for how I could grow my business without all the “extras”. Just like setting out for a road trip, it helps to have a plan and a budget. If you know you want to see Mount Rushmore but you have a stop in Door County, WI first, you have to create a plan that gets you from Phoenix, to WI to SD and back based on how much you want to spend. You may get there without a plan but the trip may take longer, cost more and you may run into a lot of road blocks or detours along the way. On the other hand, if you have your route mapped out, you can avoid a lot of challenges.

What’s The Fix – Create a bare bones plan for your business. Avoid all the fluff until you have some profit that you can reinvest. In business, you CAN create a successful business without needing a lot of the “fluff”. You don’t HAVE to have a website or an email newsletter or social media, despite what all the people selling you courses want you to believe. You can create a plan that gets you started without having to spend all that time learning or all that money delegating if it doesn’t make sense in your start up phase.

3. You are a perfectionist. You know what you want and have, probably, been burned by bad results of others before. Think of this like working on a school project with a small group. Were you the one that did most of the work but your overall grade suffered because of the work of the other group members? Was it just easier to do it yourself rather than let them have control and risk the results being bad? It’s your business and the final grade is your success or failure. That’s a high price to pay if you struggle to trust others to do a great job.

What’s The Fix – Take it slow. Start by delegating small tasks or projects and learn to trust the outcomes. Work on your belief that things have to be perfect. Deliberately put out things that are imperfect to test the reaction. Is it less than you expected? Sure, you’ll always know when something isn’t up to your standards but I guarantee your clients aren’t judging as strenuously as you are.

4. You think you have to know how to do something in order to delegate. This may be one of the biggest myths in the outsourcing industry. If you hire someone that is unskilled, you will need to know how to get them up to speed. But what is that old saying, that’s like the blind leading the blind??? Spending hours learning something like how to use WordPress to design your website only to then hand off the maintenance and spend another couple of hours training them how to use the program is NOT the best use of your time.

I was talking with a client recently. She shared that, before hiring Virtual A Team, she spent a lot of time (and money) taking webinars and online courses to learn how to set up her own online course. She kept thinking she wouldn’t be able to outsource this stuff until she had a basic understanding of it herself. It wasn’t until she had gotten so far into the depths that she realized she was in way over her head. That’s when she reached out to us, desperate to have someone take all of that off her plate so she could get back to what she loved doing, writing the content for the course.

Had this client known about the alternative sooner, she could have actually saved herself time, money and stress!

What’s The Fix – I’m probably going to seriously date myself here but Bob Newhart had this one right. In a skit on MadTV back in the early 2000’s, Bob Newhart played a therapist who could fix any problem in less than 5 minutes. His cure: Stop It. I’ll include the link to the skit in the show notes. It’s hysterical! While this may sound harsh, most people can easily let go of this belief once they realize they don’t have to. It’s just having the knowledge that it isn’t true. So, STOP IT!

5. You don’t know how to delegate. The idea of delegating feels totally overwhelming and scary. The feeling of learning something new is exciting and fun or, at least, controllable. Given a choice, our natural instinct is to go with what is exciting or controllable over overwhelming and scary.

What’s The Fix – If you are going to spend time learning a new skill, delegating wouldn’t be a bad one to learn. It’s an investment. Once you’ve mastered this skill, you can delegate all kinds of things!

But there’s an even better fix. One that helps solve all of these challenges.

Not all outsourcing is created equal.

I love old sayings because they stick around for a reason. And this one is no different. You get what you pay for.

For every story of someone that’s had success paying $10 or $20 an hour, there are easily 20 stories of experiences gone bad. From VAs that don’t show up to projects not completed on time. You can check out my Halloween Horrors episode from last year for more great stories.

I’m not telling you this to scare you away from delegating. I’m sharing this as a cautionary tale not to make the same mistakes those individuals did. There are options if you don’t have the time or desire to learn how to effectively delegate.

Online business managers are a great solution. These outsourcing wizards have a way of magically solving most of your delegating challenges.

I love the movie Devil Wear’s Prada. It’s got everything a girl could want, romance, drama, fashion and a woman who stands up for herself.

And, the idea that a CEO can have an Andy! OK, I do NOT think of myself as a Miranda Priestly, that over-the-top controlling and demanding boss that gets exactly what she wants no matter who turns into collateral damage.

But Andy is a lot like an online business manager, only OBMs work virtually instead of showing up to Paris for the Fall Fashion show.

In the movie, Miranda, the mean editor of a popular fashion magazine, doesn’t spend time learning how to do the things she wants Andy to do. She just tells her what she needs done and expects Andy to figure it out. Miranda’s twins need the latest copy of the new Harry Potter series. No, not the one that has been out for a few weeks, the one that isn’t even published yet… If Andy can’t figure it out how to get it, she’s fired.

Virtual Assistants tend to need a lot more hand holding than OBMs. OBMs will take your requests and run with it. They are problem solvers and project managers. If they can’t do something, they find and manage the right person for the job.

So let’s get back to our 5 challenges and see how an OBM, aka Andy, can help.

1. You love learning. Because an obm has a deeper relationship with you, she’s going to be more open to helping you think through and understand some of the aspects of your business that you don’t have a handle on now. She’ll nurture your love of learning in a healthy way while helping you avoid going down the rabbit hole.

2. You don’t have a lot of money and you don’t have a plan. An OBM can work with you to develop a plan for your business so you are spending the money you do have on the right things. While these wizards aren’t coaches themselves, they often have a lot of knowledge that can help guide you in the right direction. And they will definitely help you avoid those shiny object distractions that end up delaying your success and cost you lots of money.

3. You are a perfectionist. OBMs are very detail oriented. And, when you have them working with the rest of your team, they offer a second set of eyes to help review things BEFORE you get your hands on it for a final proof. They aren’t going to offer therapy for your perfectionist tendencies but they can help you manage your expectations a bit.

4. You think you have to know How to do something before you delegate. This may be one of the best gifts an OBM provides. She knows things you don’t. A LOT of things. Things you need in your business but that aren’t the best use of your time (or money) to learn. Trust her and you’ll stop spending all that time (and money) to learn all those things. She’s got it covered.

5. You don’t know how to delegate. The beauty with an OBM is they will walk you through everything you need to know to work with them. They don’t expect you to come with all the knowledge and expertise, that’s their job.

When you decide to go with an OBM, you have one task, find the right OBM for you. That’s it. Your new Andy will handle the rest!

What next?

Which of these time wasters did you resonate with the most? Take some time to reflect on how that’s effecting your business life and personal happiness. Is it still serving you to be that way? Is there a way you can adapt to honor that part of who you are without it continuing to harm the outcome of your business and personal life?

Now, make a commitment to yourself that you’ll no longer waste time because of this.

If so, it's ok. We're here to help you ensure that you have the tools you need to avoid hiring an ineffective virtual team.

Meet Jan, she’s a self-professed procrastinator. She’s well aware that it’s her biggest challenge.

She’ll tell you herself that she ALWAYS waits until the last minute; always.

In her defense, it’s often because she’s working on other projects that she’s procrastinated completing. Her procrastination is a vicious cycle.

Jan’s procrastination makes sense when you hear her story. As a student in high school, she never felt the need to get anything done right away. She’s brilliant.

She could slide by without studying, complete projects overnight, and still get A’s and B’s in all her classes.

It wasn’t until Jan went to college that she started to notice how her procrastination was beginning to affect her performance. But she still ‘got by’.

Once Jan started her coaching business, things did NOT get any better. She was still in the habit of just waiting, knowing that she could pull an all-nighter to get the things done.

Fortunately, her business didn’t suffer, at first. She brought in several new clients and was beginning to build some group programs. But then she got super busy.

Jan quickly realized that her procrastinator style had little effect on outcomes when she wasn’t busy but things started snowballing on her when busy times hit.

Download our Ultimate Guide to Delegating for More Tips & Tools on How to Delegate as a Solopreneur

You may have guessed by now that our friend Jan isn’t a real person.

She’s merely the personification of many of our dearly-loved procrastinator clients that we’ve worked with over the years; talented and well intended but perpetually in over their head.

The Great And Wonderful Idea

Back to client “Jan”.

Jan started hearing about Virtual Assistants in some of her online groups. She decided hiring one could take a lot of the work off her plate.

They could help her be less of a procrastinator and she could get back to focusing on the things she loved to do.

“This is going to be so great!”, Jan thought.

She quickly hired a virtual assistant that had been recommended to her by one of her friends.

The virtual assistant and Jan got on a Zoom call and outlined the tasks that Jan needed to have done.

After the hour-long call, the VA had a long list of tasks to complete; once Jan got her all of the access to programs she’d need.

However, since the call ran a little late, and Jan had another call immediately after, she didn’t get the VA her access right away.

And then other things came up.

And then days went by.

Little did Jan know, follow-up wasn’t her new VA’s strong suit. She was great at doing what you told her to do, but she wasn’t strong in managing her client’s disorganization.

So, more days went by. And deadlines were missed.

And, that was just the beginning.

How Procrastinators Sabotage Virtual Assistants

Before we move on, we want you to understand that being a procrastinator doesn’t mean you can’t be successful.

And it certainly doesn’t mean you can’t delegate.

It simply means you need to be aware that ‘it’s a thing’ for you.

Being aware of your procrastinator work style means you will change the things you look for in a candidate.

And it means you will need to take a look at how being a procrastinator can make it harder for a VA to really help you.

And you will closely watch your own behaviors and how they are affecting the overall team performance. Because having a team is what will take your business to the next level.

Here are some key ways you may be sabotaging what a virtual assistant can do for you.

Not Providing Enough Details

If you are a procrastinator who is working on a big project, you may be the kind of person who works out the details at the last minute.

Not working out the details ahead of time doesn’t allow you to pass the baton on tasks.

Virtual assistants are skilled but they aren’t mind readers.

If all the VA has is a big picture overview of the project, the details will be missed and it isn’t going to help you complete your project.

Sketch out the timeline of what needs to be done, or at least the general project flow, before you present the project to your VA.

Make sure you highlight for both of you, pertinent deadlines even if you haven’t thought all the way through the minor details.

Not Giving Keys to the Kingdom (or at Least the Guard Tower)

Odds are you have many different programs you use in your business.

From appointment scheduling tools to email management systems and even website dashboards.

The more tasks you want your VA to perform for you, the more passwords he or she will need to have to independently get the job done.

Ensuring that your VA has access upfront ensures that they can make progress on their own.

Don’t procrastinate making sure your VA has access to all the programs you will ask them to use.

Tools like Lastpass can make sharing and revoking password details easy!

Pro Tip

Remember not to share access to EVERY program you have. That’s too much power and could cause you a lot of challenges down the road.

Not Leaving Room for Review

A second set of eyes to review something is invaluable. , especially when the first set isn’t you.

Virtual assistants do their best for you but we’re all human. Even the most talented assistants still miss things.

Let’s say your VA is tasked to write your social media posts or articles, create newsletter emails, or many other things that will be seen by clients and prospects.

You will want to review that before it’s published. Remember, it’s still your brand. Everything that is published is a reflection of your brand.

For this reason, we highly recommend you review any public-facing project.

You will sabotage yourself and your VA’s success if you wait until the last minute to check things over.

Leave enough time between the due date you provide your VA to allow for revisions and final review.

Let your VA know when you will get the review/revision back to her for changes.

Give your VA permission to follow up with you if she has not received it by that date.

There may come a time when you gain confidence that your VA and trust her outcomes. If so, you can slack off a bit.

But if you are still in the review stage and your VA gets something back to you by the due date, you may be tempted to wait till the last minute to check it over. This won’t leave any time for a second draft and you’ll end up having to make the changes yourself.

How Virtual Assistants Sabotage Procrastinators

Like we said, being a procrastinator doesn’t mean you are determined to be perpetually overwhelmed.

And you certainly aren’t going to change your procrastinator ways overnight.

For that reason, it’s also important to know what red flags to look for when hiring a VA. And if you already have a VA, learning how certain tendencies on their side can present problems when paired with your natural procrastinator style.

Virtual assistants are typically well trained in the tasks you have them do. But often, managing people, including you, is not typically their strong suit; or their desire.

Since most VAs aren’t used to challenging their bosses, they are more likely to sit back and wait to hear from you.

For procrastinator coaches this is a recipe for disaster.

If you’re a natural procrastinator, you will need a little more personal management and accountability in addition to the tasks you want to have done.

** At the very least, you'll need someone who can be aggressive enough to follow up on needed tasks and push you a little when they aren’t getting what they need to do an excellent job for you.

In addition, if a VA doesn’t recognize that you are a procrastinator, they may also wait till the last minute, a deadline you agreed to, in order to get a task done.

Don’t Throw in the Towel

Being a procrastinator does not mean you can’t benefit from delegating. It just means you may need to look for someone that has a slightly different set of skills than you originally thought.

Sure, you still want someone who has the organization and marketing skills you are looking for but you will also need someone who isn’t just a SELF-starter but someone who can hold you accountable. You need someone who can press you for more information when necessary and not wait for a response.

A great VA will recognize that you are a procrastinator and will help you identify realistic deadlines and set them.

These qualifications tend to be rare in virtual assistants though. It’s like hiring an administrative assistant when you need an executive assistant.

What can you do then? What’s above a VA?

We are SOOO glad you asked!

Introducing the Online Business Manager

The next step in virtual services after a virtual assistant is an Online Business Manager; sometimes also called a Virtual Business Manager.

An Online Business Manager is someone who can do more for you and your business.

This person is going to have more leadership and project management skills than a traditional VA.

While he or she may still do some of the admin tasks, they may also outsource those on your behalf to other VAs.

The best part, though, is that THEY manage the team for you.

An Online Business Manager is going to be that person who holds you accountable.

She’s going to push back when you need more accountability.

She’s going to dig in to get the details rather than wait around for you to share them. They are going to find the answers rather than wait for you to provide them.

What You Can Do Right Now

An OBM sounds great but what if you have a virtual assistant right now and you need to get things moving in the right direction. Here are some tips that may help:

Plan Ahead

One of the number one things you can do to help your VAs is to plan WAY ahead.

Solopreneurs tend to fly by the seat of their pants. But that doesn’t work well when you have others on the team trying to help you reach your goals.

Create a plan at least 3 to 6 months in advance and work from that plan.

Make sure you discuss changes with your VA as soon as you know about them.

Work Backward from Deadlines

Most procrastinators don’t think about deadlines. They work at the last minute.

If you plan out your deadlines in advance, it can help you determine a better time frame for getting things done.

Build in a Cushion

It's easy to anticipate how long it will take YOU to do something but working with others requires additional time.

Unless you have a VA full time, 40 hours a week, she has other things she is doing.

She’s not always going to be able to drop everything to work on your last-minute project. Sending her a revision at 7pm in the evening and asking her to send the email to your list at 10am the next morning isn’t realistic.

Give your VA a longer turnaround time than you think is necessary. Negotiate realistic expectations in advance.

Encourage Accountability

Empower your VA to follow up with you as needed. Tell her it’s OK to email you or call if you haven’t gotten something to her by a certain date.

For some VAs, this is a skill they can adapt to when they are encouraged to do so by their “boss”.

For others, it’s just way outside of their comfort zone and they won’t do it no matter how much you encourage them.

Work with a Coach

Even coaches need coaches.

If procrastination is preventing your business success, consider working with a coach that can help you overcome some of these traits. It may just be one of the best investments you make.

You Can Do It!

Being a procrastinator doesn’t mean you can’t be successful and it doesn’t mean you can’t delegate.

It simply means you change the things you look for in a candidate and closely watch your own behaviors and how they are affecting the overall team performance.

A little planning and understanding will help you choose the right Online Business Manager for you.

Working with an Online Business Manager can be business changing.

Making sure you choose the right Online Business Manager for you helps to avoid turnover. And will get you the most out of your OBM partnership.

Meet Tish. She's a coach who works with families to help them through the world of Special Needs services.

Most of her coaching programs are offered online. She’s grown a very steady pace over the last couple of years.

She's hired a VA and someone to produce her podcast.

She even has a go-to graphics designer.

Unfortunately, she’s starting to find herself spending a lot of time working with each of her team members. She is often frustrated by helping them understand what she wants.

Recently, Tish attended a Mastermind group, virtually - of course. She heard from several different members about their experiences working with online business managers.

She was intrigued by the possibilities. But after listening to the varied experiences of her peers, she left feeling confused and overwhelmed.

It seemed like a great solution but she didn't trust that it wouldn't be another bad outsourcing experience.

Online business managers are a really great way to help coaches build and grow their coaching business without adding extra hours to their workload.

In fact, OBMs usually relieve you of work so you have more time to do the things that you choose to do.

But not all online business managers are created equal. If you don’t know what you are looking for, you may end up with more of a mess than you bargained for.

Let’s explore a little more about what you need to know to find the right online business manager for you.

What IS An Online Business Manager Anyway?

You’ve heard the term but you may not have a good understanding of what an Online Business Manager, aka OBM, is or what he or she does.

OBMs are a category of freelancers typically known as Virtual Business Managers.

The terms Virtual Business Manager and Online Business Manager are often synonymous. However, there is a slight difference between the two.

While both can help manage businesses remotely.

Online Business Managers focus on managing online businesses.

An online business could be an e-commerce site, affiliate marketing, vlogs or blogs, SaaS (software as a solution) companies, or digital products, just to name a few.

With this large variety of online businesses, it’s easy to see how the world of Online Business Managers is growing at exponential rates!

Know What To Expect

What does an online business manager, um, well, manage?

There is often some confusion regarding the role and responsibilities of an OBM.

A great OBM is best utilized to manage projects and teams, not to perform most of the tasks.

While there may be some tasks that an OBM will perform simply because they can, many of the tasks will be outsourced to other experts.

Currently, Tish is acting as the business manager.

She’s in charge of making sure each person knows what to do, how to do it, and that they get it done.

And this is where you start to see that not all OBMs are created equal.

One of the reasons that different people have different experiences with their OBMs is because they have different expectations than the OBM does.

What Do You Do Well?

Part of the problem is that OBMs vary greatly in their expertise.

Many OBMs will come to you with prior management experience in specific key areas such as social media, content creation, or administration, for example.

There’s a reason that traditional businesses have specialized positions. They have Office Managers, Production Managers, Marketing Managers, HR managers, etc…

It’s because each area of business has its own set of skills and challenges.

But, typically, there is one main general manager who handles the management of the entire company.

Most often, an MBA is the ideal candidate for the general manager position.

Master of Business

Let’s look at it in terms of the MBA, from Wikipedia:

The Master of Business Administration (MBA or M.B.A.) degree originated in the United States in the early 20th century when the country industrialized and companies sought scientific management.[1] The core courses in an MBA program cover various areas of business administration such as accounting, applied statistics, human resources, business communication, business ethics, business law, business strategy, finance, managerial economics, management, entrepreneurship, marketing, supply-chain management, and operations management in a manner most relevant to management analysis and strategy.

If your business is exclusively online, your online business manager can serve as your general manager.

While you may not require your OBM to have an MBA degree, you are looking for someone with equivalent work experience.

Choose What to Delegate

If you work with both online and offline aspects of your business, your online business manager may only manage one part.

Good OBMs have a wide base of knowledge without going deep into any one area.

This varied experience allows them to help with the overall management of the online elements of your business.

If you simply need someone who is great at social media and can manage social media marketing for you, then you’d want to hire a social media manager, not an online business manager.

Clarify Your Expectations

But those expectations should be made clear in the interview process and discussed when things change.

Trouble may also happen when a business owner expects their online business manager to manage things outside of his or her areas of expertise.

Think of asking an HR manager to manage production.

Often, the OBM is not upfront with their client to let them know the request is not a good fit.

Matching Expertise With Projects

Having conversations early, and often, will help to make sure everyone is having the best possible experience with the greatest possible results.

As a business owner, your job is to guide your team and focus your time on doing the things that only you can do.

When you hire a virtual assistant, you are choosing to delegate tasks.

When you work with an OBM, you are delegating projects.

Which projects you delegate will be determined by your OBMs areas of expertise.

With there being such a huge discrepancy in the quality of online business managers, how do you hire the right one?

How do you choose the right online business manager?

How do you ensure their experience is well-suited for your particular project management needs?

Write a clear job description

Depending on how you do your hiring, you may or may not be posting an actual job description somewhere.

But even if you don’t, a well-written job description will help you to have a clear idea of what your needs and desires are.

For example, they suggest clearly describing tasks without using jargon or vague descriptions.

Interview Several Candidates

Hiring well takes time.

Don’t look at the first few resumes, have one interview, and offer the job on the spot.

From our experience, the first candidate usually looks pretty good until you interview several more!

Ask for Referrals

Referrals are generally going to provide glowing reports about your potential candidates.

It can be tricky to know what questions you can and can’t ask.

However, when you’ve nailed down a few key questions, you can get the 'inside scoop' on what your candidate may not share with you.

Check Social Media

We hate to admit this but checking what your candidate is posting on is such an important step these days.

There are stories everywhere of employees who said or did something, shared on social media, and ultimately damaged the reputation of the company.

While we can’t avoid ALL of these situations, we can minimize them by reviewing social media profiles before hiring.

Hopefully, you took some great notes on each candidate up to this point.

That being said, gut instinct is something we measure but it's only one part of the overall candidate rating.

Interview Again

That’s right. The best companies will tell you to conduct more than one interview with your top-pick candidates.

The second interview is an opportunity for you to chat with a candidate when they are more relaxed.

It gives you the opportunity to clarify their answers to any outstanding questions you might have.

It also gives you another chance to ask more granular 'pocket questions' to further evaluate if this is the right Online Business Manager for you.

Red Flags

If you’ve never hired an Online Business Manager before, you may not know what to look out for.

Here are some red flags that may signal a less than ideal candidate:

A Yes Ma’amer - This is the person who agrees with everything you say all the time. While an OBM isn’t a coach, he or she should be able to give you ideas or call you out when something doesn’t fit with your goals. They are there to help you grow your business and sometimes you don’t know what you don’t know.

Negativity. It’s rare to see this in an interview when prospects are on their best behavior so if it does come out, you know it will only get worse.

Short Answers - While not everyone is going to be thoroughly expressive in an interview, someone who is able to talk through ideas and concepts with you will likely be a better long term fit.

REALLLLLLLLYYYY LONG Answers - on the flip side, if someone is extremely long-winded, that may use up a lot of your time.

Someone who is JUST LIKE YOU! - One huge trap coaches fall into is getting along so well with someone because they are just like them and then hiring them. You don’t want or need a clone (as much as you think you do). You need someone who compliments your abilities and can pick up slack in areas you aren’t great in.

That’s a Wrap!

The right Online Business Manager can help to relieve a lot of the overwhelm of managing the online areas of your business.

Let's chat about how to prepare your coaching business to delegate.

Congratulations! You finally decided to take that huge step to start your coaching business. Did you have ANY idea how much detail was going to be involved? We are guessing you probably don't have the funds to pay someone to tackle the creation and set up of your business, but you will want to start outsourcing as soon as possible in order to keep your sanity.

So how DO you prepare your coaching business to delegate?

Once the basics are in place, you can reach out to freelancers who can help you with your daily administrative and marketing tasks so that you can focus on coaching.

Have a Clear Objective for Your Business

What do you plan to do with your coaching business?

More importantly, how do you plan to achieve this? These questions should be answered clearly and succinctly so that it is easy for freelancers to understand exactly what your business is about.

Choose Your Niche.

Once you have YOUR niche, it is easy to create an objective that will apply to all the clients you work with.

For example, a relationship coach will focus mainly on couples, while a life coach is more general and can work with couples AND individuals. Think about your skill set and what you want to offer your clients to determine your niche.

If you prepare your coaching business to delegate any of your marketing, from social media to email campaigns, your team will need to know your niche.

Create a Mission Statement.

Once your niche is established, you can start working on other key elements of your business.

Step one will be creating your mission statement. This only needs to be one or two sentences describing your business values and what you aim to provide. When creating your mission statement it is important to incorporate three core elements:

State your vision or mission for your business

Define your objectives and goals

State your core values (this will help to shape freelancer’s behavior in the future)

These statements should be short and to the point. When your mission statement is read, it should immediately become clear what your business is about and what you expect from those you work with in the future.

Create a Business Plan

Even if you have no need to get bank loans, a business plan can serve as a road map for your business. You’d never set out on a family vacation in the old station wagon without having an idea of where you are going. And you shouldn’t start a business without having a plan either.

Your business plan will also serve to help guide you as you work with freelancers.

The following are some steps you can take to start your business plan or simplify an existing one:

Do your homework!

Research your industry as much as you can. Read industry reports, examine competing businesses, and be detailed about exactly what you plan to offer your clients. You must also know your product, your business, and your competition intimately.

What is the purpose of your plan?

Think of your business plan as a type of road map that will give you and future freelancers the directions you need to execute daily functions to grow your business. With this in mind, your “road map” should include instructions on how to deal with foreseeable obstacles that could occur.

Develop your company profile.

Examples: What you plan to offer? Who do you plan to offer it to? What is the history of your business?

Pro Tip

Once your company profile is completed, it can also serve as the text on your website’s “About” page.

Document your business.

From the beginning, be clear about your cash flow, expenses, and industry projections. In addition to using this to show freelancers that you have solid a financial plan, you can also use it to attract investors in the future, if necessary.

Create your marketing plan.

Make sure it is aggressive, especially while your coaching business is new. It should state plans for your services, how you plan to launch them, and the marketing methods you will implement to get your business out to the masses.

Make sure that your business plan is adaptable.

The coaching business is ever-changing as society finds new ways to do things, and your business plan should have information about how you plan to adapt to these changes. What is your approach? Are there financial implications that may occur as a result of making the necessary changes?

Tell people why you care about starting a coaching business.

What made you so passionate about the industry that set you on the path to starting your own business? This is the sweet spot of any budding business...making people care as much about your coaching venture as you do.

Develop Your Business Brand

Even if you prepare your coaching business to delegate your brand creation, it is always a good idea to know what goes into brand development so that you can be involved in every step. Just remember, the brand you adopt for your coaching business will also be YOUR identity. It will play a major role in how freelancers and future clients perceive you.

Your brand must be consistent and something your target audience can relate to. Essentially, you're communicating who you are and what you can do for those who are looking for the services you offer.

There are several steps involved in effective brand development, including but not limited to:

1. What is the purpose of your brand?

Did a major life event propel you toward building a coaching business? Did something in childhood make you want to help other people? Answering these types of questions will allow you to determine your purpose.

2. Researching branding techniques

Industry competitors use certain branding techniques and knowing these will allow you to differentiate yourself from them and what they have to offer.

3. Make sure you are very specific when determining your target audience.

What is the buyer persona of your brand? For example, what is their age, location, education level, gender, and income?

4. Establish a mission statement

A mission statement will help your brand tell people exactly why you wake up every morning to perform your coaching duties.

5. State the primary benefits

These benefits and qualities are those that your brand offers, especially those which competitors are not offering.

6. Develop the voice of your brand

This helps to communicate with your target audience.

7. Make sure that the personality of your brand is always clear and present.

8. Develop the messaging and story of your brand.

Tell people exactly who you are and outline your motivations.

9. Create a tagline and logo for your brand.

10. Ensure that your brand is present in all elements of your coaching business.

Who Is Your Target Audience?

You should know who your clients are before starting your business.

This is where determining your target audience comes into play.

Start by looking at the competition to see who their customers are...their demographics. Would any of them work well for your coaching business?

Consider the services you are offering and who could benefit from them the most. For example, if you want to coach young women, you will target women under the age of 30 who are struggling and need guidance in creating a solid foundation in their lives. They likely have, at the least, a high school education and are either recently married or single.

Psycho-graphics is another area you want to explore.

Psycho-graphics is where you get into the personal characteristics of your target market. It includes things like:

Personality

Values

Lifestyles

Attitudes

Hobbies and interests

Behavior

You should spend some time narrowing down all of these characteristics and demographics until you have the ideal person in mind. This person becomes...you got it...your target audience.

Determine Your Unique Selling Proposition

Once you determine your niche, craft your mission statement, and create your mission statement, you’ll need to develop your unique selling proposition.

What is your “unique selling proposition” or USP, you ask?

Your USP is what sets you apart from other coaching businesses. It answers how you will outshine your competitors? Take time to answer these questions as it will help you craft the very best USP for your business.

Not only will this help you build your client list in the future, but it will prepare your coaching business to delegate and help freelancers determine if your business is one that they want to work with.

Examining your competitors is an important area to focus on while contemplating your selling proposition.

Ask yourself, “What are they doing and how can I do it better?”.

For example, if you plan on delving into relationship coaching where other coaches focus on repairing broken relationships, you could help new parents transition into parenthood as a team. This gives you a narrower niche and, let’s face it, there will always be new parents out there struggling to adapt to their new lives who could use some guidance from you.

In the above scenario, you can target freelancers who are parents with experience in this stage of life, making them more valuable to your team and clients.

What You Don’t Need

Just as there are some key things you WILL need to prepare your coaching business to delegate, there are also a handful of things you don’t need to worry about right away.

Learn Everything - Contrary to popular belief, you don’t need to learn how to do everything in your business before you delegate those tasks. You can read more about that on our article here.

Having SOPs - It’s common to hear that you need standard operating procedures (SOPs) before you start outsourcing. That’s true if you are trying to work with very low pay overseas individuals. However, if you work with a team of specialists, they will bring the SOPs to you.

Pay for Tools - Many freelancers will bring access to tools or software you can use in your business. You won’t need to spend time shopping around and selecting the right tools before you get started.

Summary

Having the essentials in order before reaching out to freelancers will make the transition to having them on your team far easier. When you have these elements in order, freelancers get a clear picture of what your coaching company does and what your ultimate goals are.
So you’ve started a business...now what?

Like most entrepreneurs, your business is the culmination of your blood, sweat, and tears. You’ve poured all your time and effort into seeing your idea flourish, never actually taking the time to think about the “after”.

What do I do AFTER my business takes off?

Today we are going to delve into the world of outsourcing.

WHAT IS OUTSOURCING?

Outsourcing or outside resourcing, as defined by the Wikipedia, is an agreement in which one company hires another company to be responsible for a planned or existing activity that is or could be done internally.

Simple, right?

Not so to a budding business owner used to taking charge of every aspect of their business. To these energetic entrepreneurs, outsourcing is a scary prospect invented to rip away the reins of their control. But in reality, outsourcing could be the boost a business needs in order to level up to the next phase of success.

FEAR OF OUTSOURCING

Let’s first talk about the elephant in the room...business reputation. The looming question that stabs at the back of your mind like a Saturday night horror flick.

“What if the finished product doesn’t reflect my dedication to perfection?”

Rest easy! No matter what project is being outsourced, ultimately, it will need your final approval before it ever reaches the client’s inbox. As you continue to work with the freelancer, they will begin to understand your vision and overtime begin to produce work that closely mimics your own.

3 REASONS WHY OUTSOURCING IS BENEFICIAL

What can collaboration do for you?

How can outsourcing actually make you money?

Why outsourcing is a fantastic trade off.

WHAT CAN COLLABORATION DO FOR YOU?

Collaboration is an excellent feature of outsourcing. Sometimes, as entrepreneurs, tunnel vision sets in and breaks down the flow of new ideas needed to keep a business fresh and evolving. Collaborating offers the opportunity to throw around ideas that would have otherwise never seen the light of day.

Imagine for a moment if the forward-thinking caveman who thought up rubber tires kept his idea all to himself? Well then, we might still see Fred Flintstone motoring around on a set of four clumsy Fire-STONE wheels today!

HOW OUTSOURCING CAN ACTUALLY MAKE YOU MONEY?

The one thing in the world no one can buy, sell, or save is time. Any successful business-owner worth their salt knows that time is the most precious commodity. Given that eye-opening factoid, aside from cloning oneself, there is only ONE way to accomplish more with the allotted 1,440 minutes in any given day...you guessed it...outsourcing!

The ability to hand-off one to two tasks would allow you the time to follow-up with potential clients. Extra time also allows the opportunity to touch bases with current clients and brainstorm future projects they’d like to pursue with you.

So, in retrospect, the $40 you paid to a freelancer to write yesterday’s blog post (which saved two hours of your precious time) could have the potential return of an entirely new income stream.

Moral - The time saved from outsourcing yesterday could be easily be invested with a client today, thereby paying dividends tomorrow. Now that sounds better than playing the stock market!

WHY OUTSOURCING IS A FANTASTIC TRADE OFF

Allowing someone else to tackle a project might trigger a slight grumbling right at the pit of your stomach.

It’s happening right now, isn’t it?

Calm down...it’s natural.

Let’s face it, the meticulous nature which drives most entrepreneurs to success is the same double-edged sword that keeps them from unclenching their white-fisted grip from the controls. But imagine the amount of time you would save if you didn’t have to search for images, toil over ad copy, and then schedule a post on all your social media platforms.

What could you do with that extra hour of freed up time?

Exactly! Now you’re getting it. That’s what outsourcing could do for you!

You have just added an hour to market to new clients, or hit a deadline you’ve been struggling to meet since you were spread so thin.

Feel that?

That’s the feeling of calm rushing over you like a soft Hawaiian breeze.

You’re welcome.

There’s no shame in NOT wanting to take a backseat to outsourcing...INITIALLY. But, as a savvy business-owner, there comes a time when admitting you can’t do it all is not a sign of defeat, but a symbol of growth.
